Ultramar BV considers your privacy very important. We will therefore process and use your data in a secure manner, entirely in accordance with the General Data Protection Regulation. In this privacy statement we explain to you what data we collect from you and why we do this. This statement also informs you about your rights in relation with this processing. Artikel 1: Who are we?

Ultramar BV is a private limited company, established at (4905 BJ) Oosterhout on Kanaalstraat 20a. We are registered in the trade register of the Chamber of Commerce under number 55140602. We are the controller of your personal data.

Artikel 2What data is used?

Find below an overview of the data we process about you, why we do this, what the legal conditions are to be able to process these data about you and how long we will store these data.

We process your name, address, place of residence, email, telephone number and other data which are necessary in order to optimally deliver our services to you and execute the agreement. We use these data to serve you as a satisfied customer during the term of our agreement. These data is stored as long as the possibility of re-ordering exists.

In order to manage your order, we will store your name, delivery address, billing address, email, telephone number, purchase history and payment details up to 7 years after the conclusion of our agreement in our customer filing system. We do this on account of implementation and any change relating to the agreement.

We believe it is important to maintain a good relationship with you as a customer. In our CRM system we store your name, username, address, email, location, order history and telephone number. We will not delete these data for reason of relationship management unless you submit a request hereto.

For invoicing and the financial administration, we process your name, eventual company name, email, telephone number, Chamber of Commerce number, VAT number, customer number, bank details and outstanding balance. We will not be able to process your payment without these data. We therefore need these data for the execution of the agreement. According to legal tax obligations, we must store these data during a period of 7 years. After this period we will delete your data.

If you unexpectedly would have a complaint about our services, we will process your name, email, account number, telephone number, order number and the content of this complaint in order to provide the best solution possible. We use these data for optimal execution of the agreement. We will delete data regarding complaints after settlement.

Ultramar BV has a commercial interest to use some of your personal data for marketing purposes. We process your name, email and social media account for direct marketing and social media marketing. We will delete these data as soon as you unsubscribe from our newsletter or indicate that you no longer wish to be contacted by us.

To enable and optimize this website we use analytics and retargeting services. We have a commercial interest in using your surfing history and related data to analyse our service and improve it where necessary. We will track your use of our website with Google Analytics and a Facebook Pixel and are bound to the retention terms of Google and Facebook.

These services use cookies. Cookies are small pieces of information which are sent to your browser when you visit our website and then stored on the hard disk or in the memory of the device you use to visit our website. These cookies will not damage your devices.

In addition, Facebook collects target group statistics by means of a cookie. These data allows us to place more targeted advertisements. These cookies are active for two years. However, the data collected by Facebook using this cookie is transferred to us anonymously.

To enable the posting of reviews about our services, we process the content of your message with, if desired, your name and email. And if you want to contact us via the website, we ask for your name and email. By placing your message or sending the contact form, these data will be automatically visible for us. Testimonials about our services can be posted on our website out of commercial interest. We will delete the details of a sent contact form as soon as the contact question has been completed, unless an agreement is the result from this.

We process your name and content of your message when you want to leave a comment about our articles or leave a message. These data will be automatically visible and will be stored until you delete your response or we delete our message.

If you have applied for a job with us and we commence a working relationship with you, we will process your name and address, telephone number, date of birth, place of birth, email address, citizen service number (BSN), IBAN, education and diplomas and eventual passport photo. We need these data regarding the conclusion of our employment contract. Without these data we cannot execute the agreement because we would not be able to pay your salary for example. We also make a copy of your ID or passport for legal obligations and ask you for a payroll tax declaration. We store these data for up to 7 years in our administration after you have left.

Artikel 3: How do we obtain these data?

We have obtained the above data from you as a customer, employee or website visitor, because you have provided these data to us. In addition, it may be that we have obtained your data through your dealer as a third party handling your products.

Artikel 4: What rights do you have regarding these data?

The General Data Protection Regulation provides you with a number of rights relating to the personal data which you have processed by.

  1. Inspection – You can always request Ultramar BV to view your data.
  2. Modification – If you want your data to be adjusted, corrected, supplemented, protected or removed, you can submit a request hereto.
  3. Objection – You can object to the processing of your data.
  4. Data transfer – If you want to transfer your data to another provider, we will provide your data in a structured and default form which can be opened by conventional digital systems.
  5. Automated processing – You may always inform us about your position on an automated decision and have this decision reconsidered by a third party.
  6. Withdrawal – If we have processed data based on your explicit consent, you have the right to withdraw this consent. This may affect the services that we can provide you.

To execute your rights you can send a request to admin@ultramar.nl. We will assess your request as soon as possible. If we are unable to comply with your request, we will let you know why we reject your request.

Artikel 5: Who receives your data?

Ultramar BV will not provide your data to third parties, unless this is necessary for business operations or when it is required by law. Your data may be passed on to processors, parties involved in the execution of our agreement and external advisers for the execution of the agreement. We conclude processing agreements with these third parties in order to optimally protect your privacy. Your data will not be sold to third parties.

Artikel 6: Automated decision-making

Ultramar BV can make use of automated decision-making based on data provided by you. It is therefore possible that you will no longer receive emails from us after certain inactivity.
